The Office of Meetings, Events, and Conference Services congratulates you on your accomplishments and thanks you for choosing Grad Grounds to celebrate!

Reception Site Fees

  • The cost for participating is $125.00 - $200 per graduate based on location and number of graduates per group
  • Certificate of Liability Insurance is $100.00 per group
  • Catering Vendor fee is $50.00 per group

All fees must be submitted through the online payment form (not through GaelXpress). The payment link is sent with the application confirmation email from the MECS office by Friday, March 29, 2024. 

You must plan your reception for the space you have been allotted through Meetings, Events, and Conference Services. You may not negotiate or enact a site change without the written permission of the Office of Meetings, Events, and Conference Services. If you have the consent of another group to consider a relocation of your reception site (a trading of), you must both make a formal written request to the Office of Meetings, Events, and Conference Services.

In order to complete your application for Grad Grounds you must submit all required documents and fees to gradgrounds@stmarys-ca.edu no later than 4:30 p.m. on Friday, April 12th 4:30pm.

After processing the required documents and fees, the Office of Meetings, Events, and Conference Services will send an email to the graduate or group leader confirming the reception site location. Maps will be posted online no later than May 1, 2024.

Site locations are confirmed only after all required forms are completed and payment is received. In the event that an undergraduate/group does not submit all required documents and fees by the due date, the Grad Grounds reception site will be forfeited.

Grad Grounds Important Dates

Thursday, March 7: Grad Grounds Showcase in the Soda Center from 9 a.m. – 3 p.m.

Tuesday, March 12: Online Applications for Grad Grounds open at 8 a.m.

Thursday, March 21: Online Applications Close at 5 p.m. (or sooner if all plots are reserved)

Thursday, March 28th: Grad Fair in the Soda Center from 10:00 a.m. - 7:00 p.m.

Friday, March 29: Receipt Confirmations (Tentative Assignments and links to Required Documents)

Friday, April 12th: DocuSign, Catering Information & Payment Deadline

Friday, April 26th: Grad Grounds Plot Assignments Posted 

Friday, May 24th at 12:00 p.m.: Undergrads can start setting up Grad Grounds plots

Saturday, May 25th after Commencement: Grad Grounds until 4:00 p.m.

Saturday, May 25th from 4:00 p.m. until 6:00 p.m.: Grad Grounds Clean Up
